OVERVIEW

The Texas Department of Family and Protective Services (DFPS) is responsible for protecting the unprotected - children, elderly, and people with disabilities - from abuse, neglect, and exploitation. This position provides advanced (senior level) administrative support to the CPS Service Program Administrator (SPA) and CPS Investigation Program Director. The work involves the typing of correspondence, development of reports and planning of conferences; performing data entry functions; maintaining files, and monitoring and maintaining tracking systems for CPS regional purchases. The position interacts routinely with DFPS staff, representatives of community partners/stakeholders and the general public. Essential Job Functions:

Prepares, types, and copies correspondence, reports, forms, collects data for the development of performance evaluations, meeting notes and other documents to support the work of the regional service program administrator (SPA).

Edits and disseminates statistical reports and forms to support CPS program operations.

Develops, coordinates, and maintains record keeping and filing systems for required CPS regional records.

Tracks and coordinates responses or responds to both public and agency inquires and administrative actions.

Interprets CPS rules, regulations, policies and procedures.

Develops special administrative analyses and summaries of staff reports and recommendations for review by the ROSA.

Answers and screens telephone inquiries, takes and routes messages and provides referral information to clients and/or staff. Provides backup support for the switchboard coverage on a rotating basis.

Assist in the development of regional operation/administrative policies and procedures.

Coordinates and completes special projects and assignments involving various CPS program related activities. Assist in the development of regional publication.

Coordinates the purchase, receipt and distribution of office furniture and office/program related supplies. Coordinates travel arrangements and prepares appropriate vouchers and forms for the ROSA. Assist in the planning of special meetings and conferences.

Provides guidance, back up and training to clerical staff and acts as a liaison between the CPS Program Administrators, other administrative support staff, and the regional and state office.

Performs other duties as assigned and required to maintain unit operations.

Knowledge Skills Abilities:

Knowledge of office practices and administrative procedures.

Skill in using a personal computer and Microsoft office software.

Ability to implement administrative procedures, to interpret rules, regulations, policies, and procedures.

Skill in establishing and maintaining effective working relationships.

Skill in working in an office supporting several staff members.

Ability to interact with all levels of staff.

Ability to work independently in a fast-paced environment.

Ability to effectively handle multiple assignments in a dynamic environment.

Registration or Licensure Requirements:

Initial Selection Criteria:

Graduation from high school or equivalent.

Two (2) years fulltime administrative support, general office, clerical, secretarial or DFPS experience.
